Abstract
RFID Attendance System With Automatic Mail Sending is an open-source Internet of Things (IoT) project. RFID-based Smart Attendance System using Google Sheets & automatic email notifications for efficient tracking. This project is a Smart Attendance System developed as part of my Computer Organization and Architecture (COA) project. It records attendance using RFID technology, stores data in Google Sheets, and sends automated email reports with attendance data. It is built using C++, Arduino. Key capabilities include: RFID-based attendance marking; Data stored in Google Sheets; Automatic send email reports to faculty. The complete source code is publicly available on GitHub under the MIT License, making it a useful reference for students building an Internet of Things (IoT) mini project or final-year project.
1. Introduction
This project is a Smart Attendance System developed as part of my Computer Organization and Architecture (COA) project. It records attendance using RFID technology, stores data in Google Sheets, and sends automated email reports with attendance data.
2. Objective
RFID-based Smart Attendance System using Google Sheets & automatic email notifications for efficient tracking
This project demonstrates how C++, Arduino can be applied to a real-world Internet of Things (IoT) problem.
3. Key Features / Modules
- RFID-based attendance marking
- Data stored in Google Sheets
- Automatic send email reports to faculty
- Daily scheduled email triggers
- Web-based data access
4. Technology Stack
- NodeMCU ESP8266 (WiFi microcontroller)
- RFID Reader Module (MFRC522)
- 16x2 I2C LCD Display
- Buzzer (for alert sound)
- Jumper Wires
- Power Supply (5V)
- Google Apps Script (for automation)
- Google Sheets (for storing attendance data)
5. System Requirements
General requirements for this technology stack — check the README for exact versions.
- Arduino IDE / PlatformIO or a C++ compiler (g++)
- Target board (e.g. Arduino, ESP32) where applicable
- Git (to clone the repository)
6. Installation & Setup
git clone https://github.com/aadityaguptaaa/RFID-Attendance-System-with-Automatic-Mail-Sending.git
cd RFID-Attendance-System-with-Automatic-Mail-Sending- Connect RFID module to NodeMCU according to the circuit diagram.
- Connect LCD display via I2C.
- Attach Buzzer for alerts.
- Create a Google Sheet with columns: Date, Time, Name.
- Open Google Apps Script and paste the provided script.
- Replace SpreadsheetApp.openById('YOUR_SHEET_ID') with your Google Sheet ID.
- Deploy the script as a web app (doGet function will handle data entry).
- Set a time-based trigger to schedule email reports daily.
Full setup instructions are in the project README.
7. Future Enhancements
Suggested extensions you can add to make this your own project.
- Add a mobile dashboard using Blynk or Firebase
- Store readings in a cloud database for history charts
- Add alerts via SMS / Telegram when thresholds are crossed
8. Viva / Review Questions
Common questions examiners ask for projects in this domain.
- Which microcontroller / board and sensors are used and why?
- How does the device send data (Wi-Fi, MQTT, HTTP, Bluetooth)?
- Where is the sensor data stored and visualised?
- How is power consumption managed?
- How would you secure the device and its communication?
