Abstract
Event Management System is an open-source Full Stack Web Development project. An open-source platform for streamlined event organization and facility management. EMS offers event scheduling, user profiles, interactive calendars, and a robust request/approval system, all secured with modern authentication. Built with PHP, it supports MySQL/PostgreSQL and runs on Apache/Nginx. EMS (Event Management System) is an open-source platform designed to streamline event organization and facility management. It offers a user-friendly, centralized solution for scheduling events, managing event details, and fostering community engagement through interactive features. It is built using PHP, MySQL. Key capabilities include: Event Data Management: Store and manage event details such as date, time, location, and facilities in a centralized database; Online Event Scheduling: Schedule events seamlessly through an intuitive web interface; Interactive Calendar: View scheduled events and check facility availability with a dynamic calendar system. The complete source code is publicly available on GitHub under the MIT License, making it a useful reference for students building a Full Stack Web Development mini project or final-year project.
1. Introduction
EMS (Event Management System) is an open-source platform designed to streamline event organization and facility management. It offers a user-friendly, centralized solution for scheduling events, managing event details, and fostering community engagement through interactive features. Built with PHP and compatible with modern web servers and databases, EMS is ideal for organizations, communities, or individuals looking to manage events efficiently.
2. Objective
An open-source platform for streamlined event organization and facility management. EMS offers event scheduling, user profiles, interactive calendars, and a robust request/approval system, all secured with modern authentication. Built with PHP, it supports MySQL/PostgreSQL and runs on Apache/Nginx.
This project demonstrates how PHP, MySQL can be applied to a real-world Full Stack Web Development problem.
3. Key Features / Modules
- Event Data Management: Store and manage event details such as date, time, location, and facilities in a centralized database.
- Online Event Scheduling: Schedule events seamlessly through an intuitive web interface.
- Interactive Calendar: View scheduled events and check facility availability with a dynamic calendar system.
- User Profiles: Create and customize user profiles with personalized settings and preferences.
- Event Request and Approval Workflow: Users can submit event requests, which admins can approve or deny with remarks.
- Comment and Feedback System: Engage with events through comments, likes, and dislikes, fostering interaction between users and organizers.

4. Technology Stack
5. System Requirements
General requirements for this technology stack — check the README for exact versions.
- PHP 7.4+ with a web server (XAMPP / WAMP / LAMP)
- MySQL / MariaDB
- phpMyAdmin (optional)
- Git (to clone the repository)
6. Installation & Setup
git clone https://github.com/VoxDroid/Event-Management-System.git
cd Event-Management-System- Clone the Repository:
- Configure the Web Server:
- Point your web server to the EMS directory as the document root.
- For Apache, ensure .htaccess is enabled and mod_rewrite is active.
- For Nginx, configure a server block (example configuration available in the docs section).
- Set Up the Database:
- Create a database in MySQL or PostgreSQL.
- Run the database_setup.php script to initialize the database schema:
git clone https://github.com/VoxDroid/EMS.git
cd EMSphp database_setup.phpcp db_connection_settings.example.php db_connection_settings.php<?php
define('DB_HOST', 'localhost');
define('DB_NAME', 'ems_database');
define('DB_USER', 'your_username');
define('DB_PASS', 'your_password');
?>Full setup instructions are in the project README.
7. Future Enhancements
Suggested extensions you can add to make this your own project.
- Add role-based access control
- Deploy on a VPS or cPanel hosting with a custom domain
- Add automated tests and a CI pipeline
8. Viva / Review Questions
Common questions examiners ask for projects in this domain.
- Explain the frontend, backend and database layers of this application.
- How is user authentication and authorisation implemented?
- Describe the main database tables / collections and their relationships.
- Which REST APIs or routes are exposed and what do they return?
- How would you deploy this application to production?
